The Recruiting Assistant supports the efficient and effective operation of the Recruitment Department by providing service to recruiters, managers, staff and candidates. The Recruiting Assistant performs administrative work for the Recruiting department and advises on policy, procedure and best practice. The Recruiting Assistant has an obligation to promote Fletcher Allen in a professional manner to all candidates.
Accountabilities:
Administration-
Answers telephone using an agreed upon protocol; forwards calls as appropriate; takes messages; monitors hold times.
Provides general face to face, telephone or e-mail response to inquiries relating to recruitment issues to ensure levels of service are maintained in the absence of Recruiters or Associate Recruiters.
Is aware of confidentiality concerns in the presence of visitors.
Strives to present a professional office demeanor that emphasizes customer service and consideration.
Assists in keeping our social networking and internet sites up to date and relevant.
Processes Status Changes (at one point, we discussed having Kelly do this)
Processes Relocation and Interview Expense Forms
Attends career fairs and participates in external events to promote the organization with a view to attracting candidates to apply for positions.
Shares in manning the Kiosk
Shares in manning the phone line
Interview scheduling for all LNA applicant, including confirmation of hour and shift requirements. May schedule interviews for other positions as necessary.

Assists in first level screening of high volume jobs
Coordinates appointments, meetings, and affairs of department personnel. Provides support to personnel and department customers.
Prepares and distributes meeting agendas.
Confirms appointments as directed.
Networks with relevant agencies and outside contacts to establish and maintain mutually beneficial relationships; renews professional and association memberships.
Maintains a basic awareness of FAHC's Policies and Procedures as they apply to the department and its employees.
Coordinates and executes projects particular to the department as assigned. Prioritizes assignments and assumes responsibility for such projects.
Management Information Systems-
Uses and maintains a variety of manual and computerized record keeping systems always ensuring the accuracy and relevance of the data stored, in order to provide efficient, accurate and timely reports on request.
Clerical Duties-
Organization of mail, filing, and the ordering of supplies.
Develops and maintains filing systems for routine office work as well as special projects; files documents, , etc. Informs department personnel of changes to filing procedures.
Purges files of outdated and unnecessary documents periodically.
Maintains an inventory of job fair supplies; makes recommendations for additions and deletions to the standard inventory.
Verifies delivery of ordered products; processes returns; tracks costs as instructed.
Performs other duties as assigned.
POSITION REQUIREMENTS:
Education:
Must possess a high school diploma or equivalent. Associates Degree or Bachelors Degree is preferred.
Experience:
Previous employment in an office environment.
Knowledge:
Must possess competent oral and written communication skills, including the use of sound grammar, spelling, and punctuation as well as a basic competency in mathematics. The ability to prioritize multiple tasks and work with frequent interruption is required. Successful applicants will have a customer service orientation, and the ability to communicate and listen effectively.
Special Skills/Equipment:
Previous exposure to Microsoft Windows Business applications. . Must be able to operate standard office equipment such as fax machines, calculators, and copiers. Must possess good written and verbal communication skills in order to work in a busy office environment while maintaining a professional, customer-oriented attitude at all times. Must be able to handle multiple tasks, along with the ability to prioritize and balance customer needs.
